Occupancy Housing Specialist

The responsibility of the Occupancy Specialist is to oversee and maintain the residency of all properties of Medina Creative Housing and its entities to meet all governmental guidelines.

Responsibilities include:

  • Interviews and processes eligible households for rental assistance and affordable housing programs
  • Processes applications and information received from prospective tenants and determines their eligibility for the program
  • Enters data in computer generating rent, utility allowance, and escrow calculations, always keeping ledgers up to date
  • Counsels applicants with their various housing options. Assists participants in establishing goals.
  • Refers participants to other agencies to access services
  • Arrange for and conduct group/individual briefings that explain the rules and regulations to applicants, participants, and owners regarding the various Housing Authority programs
  • Assists applicants and participants needing help finding a satisfactory unit and other housing-related issues. Provides information about other community resources
  • Prepares necessary forms and secures signatures to finalize agreements between tenants, owners, and Medina Creative Living.
  • Reviews incoming requests for lease approval or lease transfer
  • Conducts quarterly family meetings and follows up with suggestions, requests that arise during the meetings
  • Maintains participant contact by phone, mail, and in person.
  • Assures that participants are fulfilling their responsibility in providing accurate verification and timely submission of other necessary documents
  • Perform annual recertification as well as computing any interim rent changes, entering such data into compliance programs “Devco” and “Real Page /One site”
  • Assists participants in the completion and signing of all papers related to beginning housing assistance, interims, and annual recertification explaining in terms they understand to ensure compliance with program rules
  • Visits all sites at least on a biweekly basis to ensure in good condition
  • Distributes late notices / 30-day notices for all unpaid rent by the 10th of each month
  • Completes all paperwork according to established Housing Authority procedures.
  • Establishes, maintains, and updates various logs and books related to the orderly maintenance of records
  • Monitor the REP activities and distribute the REP calendars monthly to all individuals, parents and guardians
  • Ensure all records, forms, and policies are updated as regulations change
  • Work closely with the maintenance staff to ensure work orders are completed correctly and timely
  • Assists with the property upkeep in assisting to get volunteers to complete landscaping for spring and fall clean up
  • Participates in the Emergency on-call rotation
  • Holds tenant meetings on a quarterly basis
  • Resolves program abuse allegations. Issues program warning or notice of termination as warranted
  • Informs owners of program requirements including Housing Quality Standards
  • Prepares monthly reports and attends meetings as necessary and required
  • Promotes programs in the community
  • Represents the program at various community meetings
  • Assist with obtaining quotes, and estimates for properties as requested
  • Assist with the in-kind donations received and assist with the organization of such items
  • Conduct family and individual tours of the housing and Vohab sites
  • Keep occupancy at a minimum of 90% at all times
  • Have a preventive maintenance schedule in place to ensure completed as assigned

MCA Employee Requirements:

  1. must be 18 years of age or older
  2. criminal background check (provided)
  3. certification in CPR/First Aid (training provided)
  4. ongoing annual training
  5. training relating to, and the prevention of, incidents adversely affecting health and safety (training provided)
  6. individual rights training (training provided)
  7. compliance with requirements of behavior supports training in behavior supports (training provided)
  8. must have a valid Ohio driver’s license / Ohio vehicle insurance coverage and reliable vehicle transportation at all times
  9. Medication administration certification (training provided)
  10. ability to lift 50lbs or more
